Terms of Service

1. Acceptance of Terms

By placing a reservation, signing an agreement, or making any payment, the client confirms acceptance of these Terms of Service, unless explicitly agreed otherwise in writing.

2. Service Description

Rental.fitness provides professional fitness equipment rental services internationally, including but not limited to event equipment, commercial gym equipment, temporary gym installations and long-term rental solutions.

3. Reservation & Confirmation

• All rental requests are subject to availability and written confirmation by rental.fitness.
• A reservation is only considered final and binding once full payment (or the agreed advance payment) has been received.
• Payments must be received no later than 30 days prior to the start of the rental period, unless otherwise agreed in writing.
• If payment is not received within this term, rental.fitness reserves the right to cancel the reservation and release the equipment without any further obligation.

4. Rental Period

• Rental periods are agreed in advance and confirmed in writing.
• Early return of equipment does not entitle the client to any refund.
• Extensions of the rental period are subject to availability and written confirmation.

5. Payment Terms

• All rentals require payment in advance, unless otherwise agreed in writing.
• All prices are exclusive of VAT, transport, installation, dismantling, insurance, duties and local taxes unless explicitly stated otherwise.
• Security deposits may be required and must be paid prior to delivery.
• Failure to pay on time automatically voids the reservation.

6. Cancellation, Changes & Rebooking

• Due to long-term planning and equipment allocation, cancellations are not permitted once a reservation is confirmed.
• In case of cancellation, no refunds will be issued, regardless of reason.
• As an exception, rental.fitness may allow one-time rebooking of the rental period, provided that: the request is submitted in writing, the new rental period starts within 3 months of the original rental start date, and equipment availability allows the change.
• Rebooking does not entitle the client to price adjustments or refunds.
• Any further changes to dates, quantities or locations may result in additional costs.

7. Delivery, Use & Return

• All equipment remains the property of rental.fitness at all times.
• The client is responsible for correct use, supervision and compliance with all safety instructions.
• Equipment must be returned in the same condition as delivered, excluding normal wear and tear.
• Damage, loss, theft or misuse will be charged in full at repair or replacement value.

8. Liability & Insurance

• The client is fully responsible for the equipment throughout the rental period, including transport, storage and use.
• The client must ensure adequate insurance coverage for damage, loss, theft and liability.
• Rental.fitness' liability is limited to direct damages and shall never exceed the invoice value of the rental agreement.

9. Non-Delivery by Rental.Fitness

In case rental.fitness is unable to deliver the agreed equipment, paid amounts will be refunded in full.

10. Force Majeure

Rental.fitness shall not be liable for failure or delay in performance due to circumstances beyond its reasonable control, including but not limited to transport disruptions, supplier delays, governmental measures, strikes or extreme weather conditions.

11. Governing Law & Jurisdiction

All agreements shall be governed by Dutch law. Any disputes shall be exclusively submitted to the competent court in the Netherlands, unless otherwise agreed in writing.

12. Pilates Reformer Rental Pricing

• A security deposit of €500 per Reformer is required for all Pilates Reformer rentals.
• Rental up to 3 months: €240 per Reformer per month.
• Rental up to 6 months: €160 per Reformer per month.
• Rental up to 12 months: €85 per Reformer per month.
• Purchase option: the client may purchase the rented Reformer(s) at a price of €1,899 per unit. 50% of the total rental amount paid will be deducted from the purchase price.
